Job Description:

Each summer (May – August) Fanshawe College converts to a conference facility. Fanshawe College Conference Services offers an academic setting with comprehensive educational facilities and resources. We provide professional and friendly service that can be personalized to what clients may need. Full-service lodging and exceptional food services at reasonable prices ensure a visit that will exceed expectations.

The purpose of the Conference Services Assistant is to be a front line professional that assists with all aspects of guest services including market research and providing a positive overall impression of the Conference Centre and Fanshawe College. This position will assist the Conference Services Manager to prepare for summer conferences and hotel bookings as well as plan, organize and execute internal events that happen between January and April.

Specific Accountabilities
• Be knowledgeable of all College and Residence policies
• Be familiar with services and amenities provided to guests and groups
• Answer questions and refer guests to the appropriate resource while maintaining a high level of quality customer service
• Serve as a College representative and resource person for summer guests
• Conduct campus tours as needed
• Assist with preparations for group arrival and stay
• Maintain records for each registered conference group and guest
• Assist with preparations for any on campus arrangements required by conference groups
• Assist with development of marketing materials for summer conferences
• Preparing and distributing informational packets to interested conference groups
• Market research on potential clients
• Field research on City of London events and collection of potential client information
• Communicate regularly with the Conference Services Manager to address concerns, problems, and issues
• Basic clerical duties: answering telephones, filing, and data entry
• Perform other administrative tasks to assist in the successful operation of the facility

Qualifications
• Self-motivator
• Able to multi-task and work well under pressure
• A strong commitment to customer service
• Be able to assess situations in order to take initiative and respond with good judgment.
• Has excellent communication skills, including active listening, assertiveness and diplomacy
• Has an awareness of services and special events happening on Campus and in the City of London
• Willing to work evenings and weekends
